Statuses in Appulate

This article describes statuses related to the policy and quote request lifecycle in the Appulate system.

Appulate uses three types of statuses to identify the current state of a quote request or policy and thus to let a user know which actions are needed to finish the work on this quote request or policy.

Statuses in Appulate

  • Record status: the main status of a quote request or policy that shows its actual state: “Request in Progress”, “Quote Declined by Insured”, “Active Policy”, etc. You cannot manually change this setting.
  • Submission status: the status associated with a market that has received a quote request or bound a policy. This status shows the market’s progress in working on this quote request or policy. Since a quote request can be submitted to two or more markets, the decision of one market may not affect the Record status. You can manually change this status for both Appulate and non-Appulate markets for the current insurance line (excluding markets that use the Appulate portal).

Note: Submission status impacts how markets are sorted on the Quote request page. The market with the highest-priority submission status (Requested to Bind) is displayed first.

However, for market users, their own market is always displayed first. Markets with the same status are sorted alphabetically.

  • Quote request status: the status associated with a market’s offer (quote) for a policy, which can be accepted or declined. The Insured’s or agent’s decision on this quote commonly influences the market submission status.

Note: The corresponding statuses of the same policy or request for a quote may not match on the agency’s and market’s sides due to the activity of their partners.

RECORD STATUSES (neutral)

New Request for Quote A brand new quote request. The request processing hasn't been started yet: e.i., neither producer/underwriter nor CSR was assigned; no quotes were uploaded or generated. This status is set initially when the agency creates a new Request for Quote.
Request in Progress The Request for Quote is being processed. Processing the Request includes collecting the information about the Insured, requesting quotes from carriers, scanning documents, etc. The Producer/Underwriter/CSR has been assigned. This status is set automatically when the agency assigns a producer or CSR.

RECORD STATUSES (negative)

Request Cancelled

The Request for Quote has been canceled. The agent has refused to work with the insured, the Request has expired, or the Request was submitted by mistake. This status is set when either the Request for Quote itself or all of the submissions are canceled.

Note: If the Request for Quote is canceled by the agency, the “Request Cancelled” status will be set for all the involved companies.

Declined by Market (No Appetite) The carrier has refused to work with the insured, considering him unprofitable.
Declined by Market (Reserved) The insured has already been reserved by another agent.
Declined by Market (Other)

The carrier has refused to work with the insured for some other reason.

The agent has refused to work on an indication or quote submitted by the carrier.

Quote Declined by Insured /

Indication Declined by Insured

The insured has declined the Request to Bind from the carrier, e.g. because the price was too high.

NoteThe declined record status is set automatically when all of the submissions of the Request for Quote are declined by the respective parties. The final reason for the “Declined by market” record status depends on the markets' reasons. If all of the markets select the same reason (or if there is only one market selected in the Request for Quote), this reason will appear in the record status as well. If the markets specify different reasons, the “Declined by market (other)” record status will show up on the agency's side.

Indication Prepared

An indication has been generated. This status is set when the submission status changes to “Indication prepared”.

It appears for agents and markets when an indication has been generated but not released yet. If a quote has been uploaded or generated, the quote statuses override the indication statuses ("Quote Prepared" and "Quote Released"). Indication statuses have lower priority than quote's but higher than Neutral and Negative ones.

Indication Released

It appears on the market's side when an underwriter releases an indication or the indication has been automatically generated by the agent.

This status is set when the submission status changes to “Indication released”. If a quote has been uploaded or generated, the quote statuses override the indication statuses ("Quote Prepared" and "Quote Released"). Indication statuses have lower priority than quote's but higher than Neutral and Negative ones.

Indication Sent to Insured

The quote is sent to the insured for signing. This status is set when the submission status changes to “Indication Sent to insured”. It appears on the market's side when the agency sends the indication to the ensured by email.

Indication Accepted by Insured

The indication has been signed by the insured. This status is set when the submission status changes to “Indication Accepted by insured”. It appears when the insured signs the indication or the agent sets the “Indication Accepted by Insured” quote request status manually.

Submission to Underwriter Initiated

The submission has been referred to the underwriter but the result is not known.

This status is set when the submission status changes to "Submission to Underwriter Initiated". It appears on the agency's, MGA's, and carrier's side after an indication has been generated and/or released, and the user clicks "Submit to Underwriter" which redirects them to the market's portal to complete the submission.

This status has only been implemented for Liberty Mutual.

Submitted to Underwriter

The submission has been referred to the underwriter.

This status is set when the submission status changes to "Submitted to Underwriter".

This status appears on the agency's, MGA's, and carrier's side after an indication has been generated, all the underwriting requirements have been met, and the user made a submission to the underwriter.

This status has only been implemented for Ohio Mutual Insurance Group, AmTrust Financial, Atlas General Insurance Services, HSB, and Employers.

Quote Prepared

A quote has been uploaded or generated, but so far it has not been given further progress. E.g., the carrier has uploaded/generated a quote, but hasn't sent it to the agent; or the agent has received/generated a quote, but hasn't yet sent it to the insured.  This status is set when the submission status changes to “Quote prepared”. It appears on the market's side when the market uploads a quote and on the agency's side when the market releases that document.

Quote Released

(market's side only). The carrier/MGA has submitted the quote to the agent. This status is set when the submission status changes to “Quote released”. It appears on the market's side when the market releases a quote.

Quote Sent to Insured

The quote has been submitted to the insured for signing. This status is set when the submission status changes to “Sent to insured”. It appears on the market's side when the agency sends the quote to the ensured by the email.

Quote Accepted by Insured

The quote has been signed by the insured. This status is set when the submission status changes to “Accepted by insured”. It appears when the insured signs the quote or the agent sets the “Accepted by Insured” quote request status manually.

Requested to Bind

The Request to Bind has been sent to the carrier. This status is set when the submission status changes to “Requested to bind”. It appears when the agency sends the request to bind the policy.

SUBMISSION STATUSES

(neutral)

Not Submitted Yet

(market's side only). The Request for Quote has not yet been submitted to the market. This status is set initially when the agency creates a new Request for Quote.

Note: This status is not available to markets in Agency > Market submissions (excluding MGAs).

Not Quoted (submarket's side only). The Request for Quote has not yet been submitted to the carrier.  This status is set automatically when the agency selects a submarket.
Request in Progress

The Request for Quote is being processed. Processing the Request includes collecting the information about the Insured, requesting quotes from carriers, scanning documents, etc. The Producer/Underwriter/CSR has been assigned. This status is set automatically when the agency assigns a producer or CSR.

Received (market's side only). The Request for Quote has been received from the submitter (an agency or MGA). This status is set automatically when the agency submits the Request for Quote to the market. -

SUBMISSION STATUSES

(negative)

Cancelled

The Request for Quote has been canceled. The agent has refused to work with the insured, the Request has expired, or the Request was submitted by mistake. This status is set when either the Request for Quote itself or all of the quotes (indications) are canceled. This status also shows up on the agency's side when the market deletes the Request for Quote.

Declined by Market (No Appetite)

The carrier has refused to work with the insured, considering him unprofitable.

Declined by Market (Reserved)

The insured has already been reserved by another agent.

Declined by Market (Other)

The carrier has refused to work with the insured for some other reason.

Declined by Producer

The agent has refused to work on an indication or quote submitted by the carrier.

Declined by Insured

The insured has declined the Request to Bind from the carrier, e.g. because the price was too high.

Note: The declined submission status is set automatically when all of the indications or quotes are declined by the respective parties. The user can also select this status manually from the drop-down list.

SUBMISSION STATUSES

(positive)

Submission Initiated

The submission via eSubmission/Weblink has been initiated. This status is set automatically when the agency submits the Request for Quote to the market.

Note: This status is not available to markets in Agency > Market submissions (excluding MGAs).

Submitted

The Request for Quote has successfully been submitted via Appulate/Email. This status is set automatically on the agency's side when the agency submits the Request for Quote to the market.

Note: This status is not available to markets in Agency > Market submissions (excluding MGAs).

Scheduled The Request for Quote is scheduled to submit using the Email submission type. This status is set automatically on the agency's when the agency initiates a scheduled submission.
Underwriting Review

The Request for Quote is being processed. Processing the Request includes collecting the information about the insured, requesting quotes from carriers, scanning documents, etc. This status appears on the agency's side when the Producer/Underwriter/CSR has been assigned.

Note: This status is not available to markets in Agency > Market submissions (excluding MGAs).

Indication Prepared

An indication has been generated. This status is set when the quote request status changes to “Indication prepared”.

It appears for agents and markets when an indication has been generated but not released yet. If a quote has been uploaded or generated, the quote statuses override the indication statuses ("Quote Prepared" and "Quote Released"). Indication statuses have lower priority than quote's but higher than Neutral and Negative ones.

Indication Released

It appears on the market's side when an underwriter releases an indication or the indication has been automatically generated by the agent.

This status is set when the quote request status changes to “Indication released”. If a quote has been uploaded or generated, the quote statuses override the indication statuses ("Quote Prepared" and "Quote Released"). Indication statuses have lower priority than quote's but higher than Neutral and Negative ones.

This status has only been implemented for Liberty Mutual.

Submitted to Underwriter

The submission has been referred to the underwriter so that they could provide a quote.

This status is set when the quote request status changes to "Submitted to Underwriter". It appears on the agency's, MGA's, and carrier's side after an indication has been generated, all the underwriting requirements have been met, and the user made a submission to the underwriter.

This status has only been implemented for Ohio Mutual Insurance Group, AmTrust Financial, Atlas General Insurance Services, HSB, and Employers.

Quote Prepared

A quote has been uploaded or generated, but so far it has not been given further progress. E.g., the carrier has uploaded/generated a quote, but hasn't sent it to the agent; or the agent has received/generated a quote, but hasn't yet sent it to the insured.  This status is set when the quote request status changes to “Quote prepared”. It appears on the market's side when the market uploads a quote and on the agency's side when the market releases that document.

Quote Released

(market's side only). The carrier/MGA has submitted the quote to the agent. This status is set when the quote request status changes to “Quote released”. It appears on the market's side when the market releases the quote.

Sent to Insured

The quote has been submitted to the insured for signing. This status is set when the quote request status changes to “Sent to insured”. It appears when the agency sends the quote to the ensured by the email.

Accepted by Insured

The quote has been signed by the insured. This status is set when the quote request status changes to “Accepted by insured”. It appears when the insured signs the quote or the agent selects the “Accepted by Insured” quote request status manually.

Requested to Bind

The Request to Bind has been sent to the carrier. This status is set when the quote request status changes to “Requested to bind”. It appears when the agency sends the request to bind the policy.

Bound

This status is shown on a policy's Prior quote request page for the market (submarket) who has bound this policy.

QUOTE REQUEST STATUSES

(negative)

Cancelled The indication or quote has been canceled. This status is selected manually from the drop-down list. This status also shows up on the agency's side when the market deletes or cancels the Request for Quote or all of its submissions and quotes.
Declined by Market (No Appetite)

Market users can set the Declined by Market (No Appetite) status manually. This is applicable to quotes, indications, indications without documents, and quote request rows. In this case, the status can be restored.

For other users, this status cannot be changed manually. Quotes and indications with this status aren't automatically released to the submitter.

The insured has already been reserved by another agent.

Market users can set the Declined by Market (Reserved) status manually. This is applicable to quotes, indications, indications without documents, and quote request rows. In this case, the status can be restored.

For other users, this status cannot be changed manually. Quotes and indications with this status aren't automatically released to the submitter.

Declined by Market (Other)

The carrier has refused to work with the insured for some other reason.

Market users can set the Declined by Market (Other) status manually. This is applicable to quotes, indications, indications without documents, and quote request rows. In this case, the status can be restored.

For other users, this status cannot be changed manually. Quotes and indications with this status aren't automatically released to the submitter.

Declined by Producer

The agent has refused to work on an indication or quote submitted by the carrier.

Declined by Insured

The insured has declined the Request to Bind from the carrier, e.g. because the price was too high.

QUOTE REQUEST STATUSES

Indication Prepared

It appears for agents and markets when an indication has been generated. It's also set on the agency's side when the market releases the indication.

If a quote has been uploaded or generated, the quote statuses override the indication statuses ("Quote Prepared" and "Quote Released"). Indication statuses have lower priority than quote's but higher than Neutral and Negative ones.

Indication Released

It appears on the market's side when an underwriter releases an indication or the indication has been automatically generated by the agent.

This status appears on the agency's, MGA's, and carrier's side after an indication has been generated and/or released, and the user clicks "Submit to Underwriter" which redirects them to the market's portal to complete the submission.

This status has only been implemented for Liberty Mutual.

Submitted to Underwriter

The submission has been referred to the underwriter.

This status appears on the agency's, MGA's, and carrier's side after an indication has been generated, all the underwriting requirements have been met, and the user made a submission to the underwriter.

This status can also be set for quotes if due to some changes in the questionnaire a quote has been updated but underwriting is still needed. 

This status has only been implemented for Ohio Mutual Insurance Group, AmTrust Financial, Atlas General Insurance Services, HSB, and Employers.

Quote in progress

This status is only displayed on the agency or MGA side for

  • Quote request row
  • Indication with document
  • Indication without a document

when a market replaces them with a quote.

This status cannot be set manually.

This status doesn't get propagated to the submission and record levels.

When the status is Quote in progress, Quote Details are only displayed in read-only mode.

Quote Prepared

A quote has been uploaded or generated, but so far it has not been given further progress. E.g., the carrier has uploaded/generated a quote, but hasn't sent it to the agent; or the agent has received/generated a quote, but hasn't yet sent it to the insured.  This status is set automatically on the market's side when the market uploads at least one quote. It's set on the agency's side when the market releases the quote.

Quote Released

(market's side only). The carrier/MGA has submitted the quote to the agent. This status is set automatically on the market's side when the market releases the quote or when the agent uploads a quote.

Sent to Insured

The quote has been submitted to the insured for signing. This status is set automatically when the agency sends the quote to the ensured by the email.

Accepted by Insured

The quote has been signed by the insured. The user on any side of the process can manually switch to this status using the drop-down list. This status is also set automatically when the insured signs the quote.

Requested to Bind

The Request to Bind has been sent to the carrier. This status is set automatically when the agency requests to bind the policy.

POLICY STATUSES
Active Policy The Policy has been issued and has come into effect.
Expired Policy The policy has expired. This status is automatically set by the Policy/Quote status switcher service.
Cancelled Policy The Policy has been canceled.
